Change Requests

A Change Request lets you formally request a modification to an already published document, leaving a record of what needs to be changed, who requested it and when. It is the controlled way to propose adjustments to current documents without editing them directly, maintaining traceability.




Create a change request:

  1. Open the published document you want to request the change on and go to the Change requests tab.

  2. Click + New request.

  3. New change request



  4. In Change description, explain what needs to be modified and why. Click New to register the request.

  5. The request is left with a Pending status, along with the document version, who requested it and the creation date.

The request as a task of the document owner

When a change request is created, it becomes a task of the document owner (the owner of the document the request was made on). The Change requests inbox shows each owner the requests for their own documents, and they are the one who reviews and resolves them.


Step by Step:

  1. The owner goes to Change requests from the side menu and sees the requests for their documents (by default, the Pending ones), with the document, the change description, the status, the version and who created it.

  2. Change requests inbox of the document owner



  3. When the request is opened, the document detail is shown in the Change requests tab, with the request data and the Resolve button.

  4. Change request opened in the document detail



  5. When clicking Resolve, the owner writes an Owner's comment (required) and decides whether to Approve or Reject the request.

  6. Resolve change request: owner's comment and approve or reject



  7. Upon Approving, the request moves to the Approved status, it records who completed it and the resolution date, and it enables a new version of the document to implement the requested change.
