Audit
The Audit feature allows the administrator to monitor and record all activities performed within the platform. The system captures critical events such as the creation, modification, viewing and deletion of documents or folders, as well as the changes made to security settings.

This information is stored in a structured way, enabling complete traceability of the actions performed by each user within the system.
- Advantage: It provides an environment of total control and transparency, making it easier to comply with security regulations, internal audits and the identification of those responsible in the event of incidents or unauthorized changes to information.
- Additional detail: Audit logs are tamper-proof; no user, not even the global administrator, can delete or modify the records generated by the system. This ensures the integrity of the evidence during legal proceedings, external audits or regulatory compliance reviews.
Enabling the Audit (first time)
The SharePoint audit feature may not be enabled in your organization. In that case, when you open the module you will see the message "Audit not enabled in your organization". To activate it, a Global Administrator must grant the corresponding permissions.
- Why does it require additional permissions? SharePoint does not allow direct access to audit logs from the sites; these are only available through the Microsoft 365 Compliance Center. DocuKlaud requires permissions to access and display the records and to keep the information under control (the records are stored in a secure database, so that you can consult them easily from DocuKlaud, without depending on Microsoft's retention periods, which are 90 days by default).
- What type of data is included? The audit does not collect users' private information or the content of the documents: it tracks specific actions, such as who accessed, modified or shared files, for security and regulatory compliance purposes.
From that same screen, use the "1. Enable" button to start the authorization and then "2. Confirm permissions enabled" once granted. When the audit is enabled, the module switches to display the log viewer described below.
Step by Step:
- Go to the side menu and click Administration.
- Select the Audit module.
- Use the search bar located at the top to find specific events using keywords, such as the name of a file or an action performed.

Apply the Advanced Filters to segment the information according to
your needs:
- User: Allows you to view the actions performed by a specific person.
- Action: Filters events such as Document deleted or Permission changed.
- Date range: Makes it easier to audit specific time periods.
- Review the detail of each event in the results table, which includes information such as Date and time, User, Action, Item detail and Connection IP.
- If you need an external backup, use the Export button to download the records in Excel or CSV format.
